The firm seeks an Office Manager/Executive Assistant to support the CEO and the executives within the Corporate Development team with the administrative aspects of their roles which will allow them to focus on both strategic and key operational activities.

Job Responsibilities

The preferred applicant will:

Provide Executive Support

Manage complex calendar and meeting schedules to support executives in multiple locations;

Manage domestic and international travel arrangements;

Manage expense report coordination and submission;

Organise, execute, and assist with team activities including staff meeting agendas, all-hands meetings, off-sites, lunches, and team social events;

Track and help drive completion of key deliverables and follow up on outstanding items;

Take notes during confidential meetings, synthesize outcomes and distribute to teams;

Assist in preparing ad-hoc reports and presentations;

Provide Office Management Support

Maintain filing and database systems, and looking for ways to improve current systems.

Manage office space, including moves and reconfigurations;

Manage the cleaning and security of office facilities;

Organise ad-hoc office space and facility repairs;

Organise office supplies including food and beverage, cleaning, and office consumables;

 Perform all other duties as assigned.

Provide Reception Support

Be the first point of contact welcoming all guests to the office; ensure all guests complete the sign-in process.

Maintain office policies including health and safety.

Organise new hire onboarding.

Skills & Experience

Successful candidates should have:

Bachelors Degree or equivalent experience;

Project management experience.

Job-Specific Skills

Analytical, organization, project management skills and attention to details;

Strong analytical skills and demonstrated ability to improve processes;

High levels of integrity and discretion;

Good knowledge of MS Office Suite;

Experience designing processes to maximise efficiency.
